Office of Councillor Neethan Shan – Ward 25, Scarborough–Rouge Park

Councillor Neethan Shan is serving his first term representing Ward 25, Scarborough–Rouge Park — one of Toronto’s most diverse, engaged, and fast‑growing communities. Councillor Shan brings a deep commitment to community advocacy, equity, and responsive local government.

We are seeking a highly organized and community‑focused professional with strong communications skills to support both the Councillor’s public-facing communications and the daily operations of the office. This role is ideal for someone who thrives in a fast-paced environment, enjoys meaningful community work, and excels at clear, strategic communication.


Key Responsibilities

Communications & Digital Engagement

  • Develop and implement a communications approach that helps inform and engage residents across multiple channels.
  • Manage and grow the Councillor’s social media presence (Facebook, Instagram, X/Twitter, LinkedIn, etc.) with original content, timely updates, and active community management.
  • Support digital communications by planning and posting multimedia content, monitoring tags and mentions, and triaging resident questions that come through social platforms.
  • Draft key messages, speaking notes, community updates, newsletters, and other written materials.
  • Assist in preparing news releases, statements, and media responses.
  • Keep the team informed of local and citywide issues, emerging trends, and breaking news relevant to Ward 25 and Toronto.
  • Track metrics and performance across digital platforms.

Constituent Service & Community Interaction

  • Assist with responding to resident inquiries by email, phone, and social media, ensuring accurate and respectful communication.
  • Support the Councillor at public events, community meetings, and engagements as needed.
  • Coordinate with community groups, local boards, and resident associations as assigned.
  • Prepare certificates, plaques, and congratulatory letters for community recognition.

Office Support & Administrative Coordination

  • Support daily administrative operations to ensure an organized, efficient office.
  • Review, triage, and distribute incoming mail, emails, and calls to appropriate staff.
  • Prepare outgoing correspondence and maintain office filing systems.
  • Schedule meetings, briefings, and events for the Councillor, ensuring proper preparation and avoidance of conflicts.
  • Maintain and update contact lists, databases, and office records.
  • Monitor office supplies and submit orders when required.
  • Assist with travel arrangements if needed.
  • Handle confidential information with professionalism and discretion.
  • Support special projects, initiatives, and assignments as directed by the Councillor.

What We’re Looking For

Skills, Experience & Attributes

  • 1–3 years experience in communications, community engagement, public administration, political work, or a related field.
  • Strong writing skills, with the ability to communicate clearly, concisely, and in plain language.
  • Familiarity with social media strategy, trends, and platform best practices.
  • Ability to work in a fast-paced political office with shifting priorities.
  • Highly organized, detail-oriented, and proactive.
  • Collaborative team member who values community service.
  • Demonstrated interest in municipal issues, equity, neighbourhood engagement, and public service.
  • Ability to handle sensitive information with confidentiality.

Technical Skills

  • Proficient in Microsoft Word, Excel, and Outlook.
  • Strong working knowledge of Facebook, Instagram, X/Twitter, and LinkedIn.
  • Experience in photography, videography, editing, or basic graphic design is an asset.
  • Knowledge of additional platforms like TikTok, YouTube Shorts, or BlueSky is an asset.
  • Comfort with basic office tools, databases, and administrative systems.

Hours and Compensation

$45,000 to $50,000 per year

Full time position, 35 hours a week
